How LedgerTitan Handles Multi-Organization Firms
Many practice management tools assume one firm equals one workspace. Real accounting groups rarely look like that. You might run a US entity and a Canadian entity, keep a tax brand separate from advisory, or acquire a small practice that should keep its own books connection and client-facing identity—all under one partner group. LedgerTitan is built around a subscription → organization hierarchy so you do not have to buy duplicate subscriptions or flatten distinct practices into one bucket.
Subscription, organizations, and clients
LedgerTitan separates three layers:
- Subscription (tenant) — your firm's paid workspace: shared seat pool, subscription-level settings, and plan limits
- Organizations — distinct practices or entities inside that subscription, each with its own clients, integrations, and portal identity
- Clients & engagements — delivery work scoped to an organization
Team seats are shared across all organizations in a subscription—you are not rebuying seats for every entity. Gold includes two organizations out of the box; Bronze and Silver include one. Need more? Organization packs are available at checkout.
Partners and staff switch between organizations without separate logins. Role assignments apply in the context of each organization—see the section on role-based access below.
Role-based access inside each organization
Multi-organization structure only works if the wrong people cannot see the wrong books of business. LedgerTitan enforces access at tenant and organization scope:
Owners and admins have full workspace access within their organization and can manage subscription-level settings (billing, Gmail/Outlook linking, organization creation).
Custom roles (Silver and above) let firms define member roles with a page-level permission matrix—Analytics, Projects, Clients, Emails, Timesheets, Invoices, Templates, Users, and Assistant can be toggled per role. Members assigned a restricted role only see the pages their role allows. Owners and admins bypass the matrix.
Organization-level feature toggles sit alongside roles: firm leadership can turn AI features, document signing, or member QuickBooks invoice actions on or off for an entire organization—then roles decide which members can reach those pages.
When a user switches organizations, their role in that org determines what they see. The same person can be an admin in one entity and a restricted member in another.
On Bronze, custom role restrictions are not enforced—owners and admins retain full access, but you cannot edit role matrices until Silver or above. Saved role definitions persist through downgrades and reapply when you upgrade again.
Per-organization QuickBooks and Stripe
This is where the hierarchy pays off. In Settings → Organizations → Integrations, each organization connects its own stack:
- QuickBooks Online — map each organization to its own Intuit company. Timesheet-based invoice creation syncs through that org's QBO connection—not a single shared ledger forced across entities.
- Stripe Connect — on Gold and Platinum, each organization completes its own Express onboarding for client portal payments. Card and wire collection settings are per org; subscription billing (what you pay LedgerTitan) stays separate from client payments (what clients pay your firm).
You do not need a separate LedgerTitan subscription per organization. You need one subscription with multiple org records—each wired to the right QBO company and Stripe account.
Branded client portals per organization
Client-facing identity is not one-size-fits-all. On Gold and Platinum, each organization can save its own portal branding—logo, colors, and display name—so clients see the practice they hired, not a generic vendor shell.
Silver and Bronze subscriptions still include the client portal for documents and support; custom branding unlocks at Gold. If you downgrade below Gold, saved branding stays in the database and reapplies when you upgrade again.
That per-org branding model matters when you operate multiple trade names or geographies under one holding group.
Template management across the firm
Engagement templates are a subscription-level resource with tier-based limits (Bronze: 1, Silver: 5, Gold: 10, with add-on packs available). Templates are not throwaway checklists—they support structured project, task, step, and email bodies so recurring work launches consistently.
Firm admins build templates once, then teams instantiate them on new engagements. Favorites and default project templates help growing firms standardize delivery without copying spreadsheets between orgs.

Reminders and in-app notifications
Delivery slips when follow-up lives only in someone's head. LedgerTitan includes:
- Reminders — schedule follow-ups on projects and tasks; see active, scheduled, and completed reminder states from the work record
- In-app notifications — a dedicated notifications view for workspace events, plus pending invite handling, so staff do not rely on email alone for internal signals
These features are included on all paid tiers—they are part of running engagements, not an add-on bolted on later.
Combined with workflow automation on steps, reminders and notifications close the loop between "we assigned it" and "someone actually did it."
How this differs from typical practice software
Many platforms market "multi-office" support but mean reporting roll-ups or extra user licenses. LedgerTitan's model is more operational:
