The LedgerTitan Client Portal: Invoices, Payment Methods, and Low-Friction Access
Firms invest in practice management for delivery—but clients still judge you on how easy it is to pay and find documents. Email attachments, one-off payment links, and "call the office for wire details" create friction that slows collections and erodes trust. The LedgerTitan client portal gives your clients one signed-in place for invoices, saved payment methods, and (when you enable it) documents and support—without asking them to learn your internal tools.
Why a portal beats email-and-PDF alone
Most clients are not accountants. They want to know what they owe, pay it quickly, and move on. Scattered PDFs and reply-all threads fail that test:
- No single source of truth — "Which invoice is still open?" requires searching email
- Payment friction — re-entering card details on every invoice
- No self-service — every wire instruction or receipt request lands on your staff
A client portal reverses the burden. You still send work from LedgerTitan; clients interact in a simplified, branded workspace scoped to their relationship with your firm.
Getting in: minimal friction for new users
LedgerTitan keeps client onboarding lightweight:
- Sign in to pay — clients authenticate to view and pay invoices. That login creates their portal account; there is no separate lengthy registration flow beyond authentication.
- Organization context — if a client works with multiple entities under your subscription, they pick the organization from the workspace menu—each with the firm's branding when configured.
- Dashboard at a glance — open invoice count, estimated amount due, and saved payment methods appear on the home view with shortcuts to Invoices and Payment Methods.
Clients do not need QuickBooks, practice software, or training on your firm's internal workflow. The portal shows only what they need.
Managing invoices in the portal
The Invoices page is where clients spend most of their time:
- Filter and search — find invoices by status, project, date range, or text search
- Pay with a saved card — when your firm enables Stripe Connect card payments (Gold+), clients select a saved payment method and pay open invoices in a few clicks
- Wire / bank transfer — if enabled, clients see your firm's wire or ACH instructions on the invoice—custom copy from your organization settings, or a default prompt to contact your firm
- Invoice PDF — clients can download invoice PDFs from the portal (LedgerTitan native PDF, or QuickBooks PDF when the invoice is synced)
- Payment status sync — when your firm records payment in QuickBooks, clients can refresh status from the portal so paid invoices reflect reality
Invoice amounts and statuses come from your firm's workflow—and optional QBO sync—not a separate client-side ledger clients must maintain.
Saving and managing payment methods
Repeat clients should not re-type card numbers every month. The Payment Methods page lets them:
- Add a card through Stripe's secure card element (SetupIntent flow—card data goes to Stripe, not your firm's servers)
- View saved cards — brand and last four digits, with a default card marked
- Remove cards they no longer use
- Manage profiles — clients linked to multiple billing profiles under an organization can manage methods per profile
When card payments are disabled for an organization, the Payment Methods menu is hidden—clients still see invoices and documents, but payment stays offline per your firm's settings.
This is your firm's Stripe Connect account (Express) per organization, separate from what you pay LedgerTitan for your subscription.
Documents, support, and branding
- Documents — when document signing is enabled for your deployment, clients access shared delivery documents from the portal
- Support — clients can reach your firm's support channel from the portal when configured
- Branding (Gold+) — logo, colors, and display name per organization so the portal feels like your practice, not a generic vendor login
Bronze and Silver firms still offer the portal for invoices; custom branding and Stripe card collection unlock at Gold.
What firms configure (and what clients never see)
Clients experience simplicity because firms do the setup once per organization:
